A Guide to Workplace Planning

Introduction

In the current economic climate, it’s not just employees who are coming under scrutiny in many organisations, but the effective use of work space as well.

With major advancements in the use and availability of mobile technology, it’s much easier and in some cases much more efficient for both the employer and employee to agree a flexible working arrangement. So as well as the more traditional accommodation for office based personnel, employees are now able to work from home and work from several locations during the working week. Even when in an office environment, hot-desking, touch-down areas or hotelling are all common arrangements being made for the mobile employee.

Effective workplace planning is something that many organisations are now considering. What should be taken into consideration when planning the workplace area?

One of the most critical considerations when undertaking workplace planning is to be absolutely clear about what tasks will be performed in the designated areas. Different layouts, different furniture, the amount of space required, should all be considered depending upon the tasks to be employed in the area. So whether the workplace is to be for permanent staff or flexible workers, consideration needs to be given to the comfort of the working environment, to aid productivity.

Permanent workers will spend many hours at their desk so it is important that consideration is given to individual work areas. The correct provision of the appropriate office furniture and equipment all aid productivity and efficiency levels. Each employee will require their own personal space around their work station. No one likes to be cramped in and there are many variations of desk design, from single to multi desk designs to ensure enough space for each employee.

Comfort at the work station is a key priority to ensure that health problems are avoided through being in the seated position for long periods of time, so a comfortable chair is essential. Lighting is also a key consideration. A more pleasant working environment is created where the office is well lit , but consideration will also need to be given to avoid glare on computer screens. Telephone communication also needs to be well appointed on the desk. Equally, for the mobile worker, ease of connecting up a laptop and mobile phone will be essential.

It is important to take into account all of these issues to, as far as possible prevent distractions from other areas of the office which could interfere with work. However, employers need to get the balance right, as it is just as important to maintain good communication and working relationships within the office. Ensure that each employee has sufficient space to effectively and efficiently undertake their tasks, without being distracted by other workers close by. Therefore, in some cases, the provision of a conference room to enable one-to-one or group discussions to be held, may be another effective element of the office design.

In my opinion, the most effective way in which to ensure that employees buy-in to what the employer is trying to achieve is to consult with the employees. Through consultation, the employees can give their views on what type of workstation will be best suited to performing the tasks.

For example if the environment is to be used by a sales person, where regular communication with clients is required, then a slightly more secluded working environment may be preferred to avoid background noise, particularly if discussing detailed proposals or contracts. A sales person is one type of employee who will have flexible working requirements, where a small amount of their working week will be spent in the office, whilst the rest of their time will be spent out on the road visiting potential and existing clients.

If the environment is in a finance department or call centre, then the use of system desking or multi seated work stations may be a more appropriate solution, where a number of employees can be seated in a work area together..

Health and Safety in the office

Whatever the office conditions, the employees should be allowed a degree of flexibility to arrange their work station to suit their own needs. As long as the employer has provided and considered the requirements of the working environment to allow employees to undertake their work effectively, employees will want to add a personal touch to their own work area. As long as employees do not place their own health and safety or that of others at risk, then there is nothing wrong with the employer allowing some flexibility with this.
Guidelines for use of equipment at the workstation

Taking time to ensure the comfort of employees at the workstation can reduce health and safety problems in the future. Every one enjoys working near a window and if this is possible, the glare from windows onto a computer screen can make reading of the screen difficult. Therefore, window blinds or shades need will need to be installed to enable employees to control lighting conditions.

In situations, where the workstation is to be used for longer periods of time, guidelines recommend that the use of computers may require an anti-glare filter to be placed across the screen to minimise problems with reflection. A computer monitor is recommended to be at least 25cm from eye level.

It is also necessary to ensure that enough electrical points are available, for additional communications equipment such as mobile phone chargers and laptops.

Employees may also require printers or scanners to be located on their workstation.
The correct seating is critical of any workstation design. Perhaps the most important feature of the workstation is the provision of the correct type of office chair. Many hours will be spent seated at the workstation, so the better the quality of office furniture, the less likelihood there will be of receiving complaints from employees about discomfort in the back, shoulder or neck area of the body. The chairs comfort and design can impact upon how effective or productive the employee will be. So it is good practice to test some desk chairs for comfort before purchasing too many.

Good morale amongst employees is positive for your business and a comfortable working environment will help the cause. I was recently involved in a project to set up a new call centre to accommodate eighty call centre agents. Following much discussion with the office design contractor and consultation with around twenty existing agents, plans for the new look office were agreed before the contractor went away to draft the plans. The existing agents felt that team working was important and therefore it was agreed that the most effective office layout would be for the call centre agents to be located in teams of six around a circular desk system.

Once the plans were finalized, over a three month period the office layout was developed. Taking time to involve the existing agents has proved very effective indeed, with all call centre disciplines showing good signs of improvement.

Projects that involve office construction developments need to be managed effectively.

Fire Exit Considerations

No matter what type of business you operate, employers must comply with regulations around safety at work, and this includes what to do in the event of a fire.In today’s health and safety led environment whether it is at home or in the office, the installation of smoke detectors is common place.

The Regulatory Reform (Fire Safety) Order 2005, was introduced to provide guidelines for businesses on what reasonable steps should be taken to reduce the risk from fire, to occupants of the premises . More importantly the Order contains advice to business owners to ensure that a safe escape plan is in place should fire occur.

Generally speaking, ensuring fire safety within premises is a common sense approach. It is important that in any workplace planning programme, that time is taken to identify for example, where the nearest exit routes are for employees to safely leave the building and where employees should congregate upon evacuation of the premises.

In some premises of course, hazardous materials may be in use within the building and therefore it is wise to seek further advice from the fire service who can advise on how to take specific precautions. Equally, office buildings on several floors will also require advice from fire safety experts to ensure safe escape routes are identified. Many businesses now appoint fire marshals whose responsibility it is, to make sure that every one within the building is briefed about what they should do in the event of a fire.

In any work place , escape routes should be safely and immediately accessible at all times and suitable for the number of people likely to use them. They should not be obstructed in any way and accessible for emergency services.

Guidelines do recommend that at least two fire exits should be available if a office is to be occupied by more than 60 people. The guidelines also extend to the number of flights of stairs and passages of corridors, so your workplace planning considerations will need to comply with the regulations.

Disabled Access

There are many considerations for employers to be mindful of when planning to accommodate disabled people within offices and premises. Under the Disability Discrimination Act every business is required to make ‘reasonable adjustments’ to the working environment to ensure that people with disabilities are not discriminated against.

These include making adjustments to the workplace to ensure ease of access for the disabled and providing suitable modified office furniture to provide the same level of office comfort as able bodied employees.

There are many rules and regulations to comply with, so taking time to consider the implications of precisely what is required is imperative. Do not under estimate the amount of issues to consider in making your workplace a pleasant working environment.

The Dell Inspiron 910 Mini: Read This First

Having been amongst the first to purchase the Dell 910 Mini I wanted to share my experience with others that might be thinking about acquiring this item or one of the other sub-notebook or ‘netbooks’ as they have become known. I manage a web design agency and I’ve been contemplating the idea of getting a more lightweight laptop as my old Dell Inspiron from 2003 is as heavy as a brick.

Shortly after having retired the old Dell to my girlfriends house (I couldn’t face lugging it back and forwards any longer so it just lives there now, I might well do the same with myself one of these days soon!) it stopped charging and wouldn’t run from the mains, so eventually when I gave it to my tech to repair he found out that it was one of the known faulty models, the 5150 which developed a problem with the motherboard overheating after prolonged use, this I found out about 2 years after they stopped replacing them as part of a class action lawsuit, shame I’m two years too late to get it replaced for free!

Ah well what’s 150 quid for a factory refurbished Motherboard off ebay, compared with years of loyal service in spite of being dropped a couple of times, spat on repeatedly, eaten over and all manner of other not recommended usage styles! I even used to have it hooked up to my TV via the onboard S-VHS port and watch films on it, so it has seen some action, oh yes!Not that I download movies off the internet you understand of course, oh no that would just be wrong, and illegal and I wouldn’t want to risk getting my broadband disconnected!

However, this was all instigated by my step dad who just took delivery of top of the range Toshiba Portege at around £1,200, but he’s at that time in life where 1,200 quid is affordable, where as I’m still in financial recovery from my last divorce (yes there was more than one!)! So I happened across the Dell Inspiron 910 Mini on the Dell website whilst looking at specs of notebooks for a customer, and there it was £299 inc VAT and delivery. What a bargain I thought!

Anyway there I was credit card at the ready, wrist twitching ready to make a purchase, but hang on I thought, why am I buying this, do I really need it? No, I don’t NEED it I just HAVE TO HAVE ONE! So then some sensibility came over me and I put my credit card away, feeling all smug with myself at having managed to resist an impulse purchase!

However, the next day my step Dad needs me to investigate his new Toshiba because he can’t get the music software to work with Vista and can’t get it to see the other computers that are on our network (this job for me, comes with the territory!) So I happen to have to work on this ultra lightweight new laptop, wow I’m amazed at how small it is, especially compared to my old Dell 5150! I wish I had cash spare to invest in one of these I thought! I noticed he didn’t have my recommended security software installed though.So I set up the Toshiba and installed all my favourite computer security programs: Avast Anti Virus and Spybot Search & Destroy, all that kind of thing.

The next day I had to go to a client’s and as it was first thing in the morning I went straight from my girlfriends house and took the old 5150 with me (which gives me a great excuse to call in on my way back and drop it off, coincidentally around about lunchtime when there might be the chance of a ham, cheese and salad sandwich on the go! ) So anyway, I about put my back out trying to put this incredibly heavy laptop in the car passenger foot well whilst sitting in the drivers’ seat! So having experienced the new lightweight machines first hand, and realised I do have a genuine NEED for the new Dell Inspiron mini after all, weighing in at around 1kg, you know I planned to get that credit card out again as soon as possible!

So as I had a management meeting that afternoon I informed my Finance Manager I would be ordering one and that was that. It was Friday October 3rd when I placed the order on the Dell website, and on the 8th I got back from a client meeting to find a tiny cardboard box on my desk with the Dell log on the side, I thought that it couldn’t possibly be the new mini as the confirmation email I got said it would be delivered on or around the 20th October, but sure enough it really had arrived! Just a 5 day turn around, wow!

So I’m like a kid in a sweet shop thinking “best day ever” (See Heroes Season 3), I was ecstatic and carefully unpacked it, tossing instructions and disks to one side of course, “read those later” I thought. I got it out and started setting it up straight away, you know remove Dell Support Centre and all the other junk software these things come with these days.

As it has an integrated web cam I also downloaded Windows Live Messenger and had a short video chat with my missus whilst she was doing her house work, superb!So next I Googled ‘mobile broadband suppliers’ and toyed with ordering the USB dongle from Three, as their 5GB monthly allowance is only 15 quid a month so the best looking deal, providing those coverage stories you hear about Three Mobile are not really the case! (Update: Yes the coverage is lousy in all the areas I want to use it, even at my desk I have to connect the dongle to a USB cable and hang it from my roof to get 1 bar signal strength, ridiculous buy another brand!) Current suggestion is for an O2 dongle as they have good coverage and a good backbone speed.

Anyway, it was soon time to go and get my daughter from school so I thought yeah I’ll take it with me and even though I don’t have the mobile broadband dongle yet I can continue setting it up in car park if I’m early. I was early, so I turned it on, it said:

Windows could not start because of an error in the software.

Ah dear, it was great fun whilst it lasted, all of about 2 and a half minutes!Then followed a two and a half hour telethon with Dell support in India :-( Apparently they were so quick to ship the laptop to me that my service tag isn’t on their system yet.

Great customer support is simple, it’s not complicated like, say server virtualization or brain surgery! It’s a brand new Dell 910 mini laptop, and every time you turn it on, it doesn’t work, so send me another one! “We’re sorry Mr Rogers We can’t send a replacement because we don’t know what the service tag is”, I was furious, I insisted on speaking to the supervisor, who told me exactly the same thing, like they were reading it off a script, they probably were!)

They suggested I called back in 24-48 hours, well I explained to them exactly what I thought of their suggestion as I’m sure you can image, but to no avail. I did indeed have to call back today and they have agreed to send me a replacement unit as it is within 7 days of delivery.

I hope the replacement arrives as quickly as the original unit did…

So conclusion? Apart from the fact it doesn’t work (a faulty drive in my opinion) and for the life of me I can’t get it to boot from an external drive or USB key (it doesn’t have a CD or DVD drive you know) it feels really solid, looks lovely, and is nice to handle (sounds a bit like the ideal companion to an i-phone 2.0 doesn’t it!).

Like most reviewers have experienced, the keys are small (but blackberry users manage and they are larger than those keys) and the right shift key is tiny and means you can’t type an @ in the usual fashion. But the screen is nice, 3 USB slots, a monitor connector, Ethernet and earphones and mic connectors although it has both speakers and mic internally so you can video conference without having to plug anything in.

On the whole, I would recommend it, providing you get one that isn’t broken ! I am also yet to try it with LogMeIn which is my preferred way of dealing with how to access emails, lots of passwords, specialist software and all that kind of thing when you are out and about. Possibly the screen is going to be too small to be able to work with for extended periods of time, but I’ll let you know when the replacement arrives and I have had chance to give it a proper testing, assuming that one doesn’t break on me as soon as I start urm ‘configuring’ it!

Further Update: So I have had the Dell Mini for about erm, wow nearly a year now! It would never work with LogMeIn over the Three dongle. To be fair Three were very helpful, until we took the dongle out and used it in another one of my machines and were able to connect on LogMeIn without any problems, at this point they referred me to Dell, at which point I lost the will to live!

It is all to do with one of the browser settings, not remembering itself when you tick the check box and hit OK. I can’t remember which one it was now, and maybe ie 8 will have fixed the problem or it might work on Mozilla browser instead, I just never got round to trying to sort it out again and tend to use the Mini more now to read the news in bed with my cup of tea in the morning.It’s just so convenient being so small, and another great feature is it’s near instant turn on. If you just shut the lid it goes into standby, open the lid and it comes back on again within seconds.

It is too small to use for really extended periods but it is great for checking your email when you’re out and about, or for a quick impulse surf when you’re watching tv and you want to remind yourself what other films that actor or actress was in for example!I’ve yet to connect it to one of my external lcd monitors but I guess it would work just as well as any other pc then.

It’s a great little machine though and also works quite well down the pub, because I can even fit it in the pocket of my big coat, and that is proper cool, except it doesn’t like beer puddles much so I tend to avoid taking it most of the time, unless I know I’m going to need to log on, but then the pub has got a sexy new Mac which is already covered in beer so I prefer to use that (any excuse to get behind the bar really!)

In summary though it has not had any hardware reliability issues since the initial replacement was received. On the whole I have found that Dell kit tends to be pretty reliable anyway, especially when you are dealing with the more business based items whereas this is obviously more consumer focussed. With a Dell or most new PC’s if they are going to go wrong they will usually do so within the first 6 months of use and generally after that they will keep going until recommended service intervals such as changing the disks after a couple of years and that kind of thing, assuming you continue to use them in the same fashion throughout their life spans.

It should be made clear though that these mini Dell laptops/netbooks, call them what you will, do not having a regular hard disk drive inside them. A normal hard drive has a disk inside it that physically spins round and a ‘head’ which moves backwards and forwards over the sectors quite like the relationship between the stylus and the tracks on an old fashion vinyl record(which being 40 next year I do remember from my childhood)!

The storage within the Dell mini, and other netbooks too I should image, are solid state, that is to say they are rather like USB flash drives or memory keys. In fact I think from a picture I saw they look more like RAM memory chips all joined together than a single physical device. The advantage of using solid state memory over traditional hard drives is that they use less power, they are not as heavy and they are quieter.

My netbook is blissfully quiet in comparison to any of my other computers, desktops or laptops. Although if you are auditorily hyper-sensitive to sound like I am then you can notice a very slight hum or whine when you give it something to do that requires it to access the hard drive. Most people probably will never hear this but if you are familiar with the faint hum from your mobile phone charger or other devices of that ilk that transform power from one state to another then you might know what I am talking about. It certainly isn’t a problem though, although the power adapter for the machine itself does make some odd noises if you listen to it closely. It is similar to a mobile phone charger though, not like a traditional laptop power adapter, and this makes the whole thing much more portable.

My favourite aspect of this machine is that in some it elicits the same response as having a small puppy or kitten out and about with you, especially down the pub where if you get it out to a bunch of girls you can hear the ooh and ahhh’s of girls who think something is cute! That is priceless!

Learning to budget your finances is one of those things where some people have no problem, yet others cannot do it for the life of them. Inevitably over the week they get involved in various community and charity projects and find people that they could help financially. Well I love this program, especially at the end when the millionaire presents somebody with a cheque for an amount of money that is generally more than they have ever had in their life. I like trying to work out from their expressions if they have guessed they are a secret millionaire or not, some of them have obviously worked it out and try to put on their surprised face!Most of them are genuinely blown away though, after all it’s not every day a millionaire gives you a load of cash!

There was a couple of interesting finance related things I picked up from watching these programs though. The first was on one of the programs that featured a millionaire lady who had come from nothing into a millionaire in the period of about thirty years. She said she got started when her uncle gave her £5 when she was a child and she saved it. What was interesting though is that when she went undercover she still managed to save money whilst she was living off her £8 a day. She put her savings, which were only a few pounds, into a sock in her sock drawer.She was spending less than her daily budget.

The other interesting part was where a wealthy Scottish business man decided to help out a flailing cafe owner and his wife. They were foreign, Greek I think, and interestingly when they did the follow up segment of the program, when he returned to see how they were getting along, the business had still gone bust, in spite of the fact that they were helped out by their wealthy benefactor!

The two examples help to demonstrate the one basic fact of financial success: If you want to be financially sound you have to spend less than you have got. If you spend more than you have got you are doomed to financial failure.Both of these examples demonstrate that one basic fact.

The most difficult thing to do is to face the truth. When someone is on a spending spree they are out of control and out of touch with reality. The fantasy ignores the hard fact of the cost and the very real consequences of overspending (ie. How it’s going to be repaid).

So the first thing you need to do is keep accurate documentation of everything you spend your money on. At the beginning, if you have not done this before, do not try to change what you normally do, just make a note of everything you spend as you go through the month. Have a cash note book and write down all the things you can think of that you buy. This includes household bills and food, mobile phone, TV. Put a figure in the corresponding column. If you have actual amounts put them in, if not make an estimate. Leave space for the things you don’t remember or even consider expenses. Beer, cinema, clothes even the coins you toss to street entertainers. Categorise it as fun money or entertainment funds.

Every time you take money out of your pocket/wallet/credit card/bank, write down what you use it for. Do this over twenty eight days, and by then you will have a fairly comprehensive list of your expenses. Make a total at the bottom of the page and on the opposite page write down all your income. When I first did this I found that one of my largest expenses was shop bought sandwiches every day!

Compare the totals. Have you spent more or less than you receive? Is your life going towards happy or miserable? I went on a negotiating course some years ago and the following week I put into practise what we had learnt. I reduced my spending by £350, just by asking! Most of the time these days, people expect to be bartered or negotiated with and most prices are generally based on the fact that the advertised price is not the final selling price.

Carry only a minimum amount of money on you so that you are not tempted to fritter away £20 on some impulse purchase you don’t need. Those notes add up fast and before you know it that hundred pounds that was in your pocket is gone.

Cut up your credit card unless this is the most convenient way to pay regular items and you clear the balance at the end of each month. Use only one credit card, and find one that gives points for purchases. Whilst it can sometimes be an inconvenience to have to get another card out these points mount up over time and you can claim vouchers to spend in your favourite shops. Personally I don’t like loyalty cars and feel that companies who give points away ought to just provide a discount on the sale price and make everyone’s life easier, but the world is just not like that and it does pay dividends now that I have managed to get past that!

Make a list when you go shopping and only buy what is on that list. OK, some things you may have forgotten to put down but make sure you avoid the impulse purchases. Keep a list in the kitchen and only put things on it when you have run out. Use up products in the icebox and freezer to reduce waste and keep spending to a minimum.There is nothing worse than buying something and then not using it and having to throw it away.

Become a thrifty shopper and consumer. Try and use up coupons, saving a few saved pence per purchase can really add up. Searching through clearance sections in stores is another way to save money. You may be pleasantly surprised to see how much you can reduce your bill on your usual grocery haul. Not everything on the clearance shelf is always rubbish!
